Venter & van Wyk Properties CC has for the past 52 years been active in all aspects of property administration. We specialize in Sectional / Full Title Management, residential and commercial rent collections and the placing and control of short term insurance portfolios.

  SECTIONAL TITLE MANAGEMENT

We are proud of our well trained staff that administers nearly 2000 Sectional Title units together with an equal amount of rental units, with the assistance of a proven computer network and other in-house systems.

We manage Sectional Title Schemes in all areas of Pretoria, Midrand and surrounding areas.

We also act as rent collecting agents for leased units in these schemes.

Our business is known to its clients as having a reasonable and acceptable fee structure for its services, which is negotiated annually with the trustees.

It is our practice to be closely involved in all aspects of the management of properties under our administration.

  1. On request monthly levy statements are being sent to the owners reflecting the opening balance and levies payable.
  2. Every month end the chairman is provided with a financial report showing full details of all levies received and outstanding for each unit as well all expenses paid and the total balance of funds on hand.
  3. The annual budget can be measured against the actual results and this act as an effective management fee for the trustees.
  4. All relevant financial records are handed to the auditors on a yearly basis, who in turn attend to the preparation of audited financial statements.
  5. On receipt of the draft audited financial statements they are presented to the trustees for consideration and recommendation to the Annual General meeting for final approval.  This is accompanied by a proposed budget, levy schedule and revised values for insurance purposes and the Chairman’s report.
  6. The Annual General Meeting is then convened and attended by ourselves.
  7. Assistance is offered to owners, trustees and the caretaker in the daily management of the Body Corporate affairs.
  8. Problems arising, requests and instructions from the trustees are attended to.
  9. Trustees meetings will be attended by the managing agent on an invitation basis with at least 7 (seven) days prior notice.  All minutes of trustees meetings must be sent to the managing agents’ offices as these minutes serve as a method of communication between the trustees and our offices.

  CREDIT CONTROL
  1. All monthly levies are payable in advance by no later than the first working day of the month. Special levies are payable as decided by the trustees or a Special General Meeting.
  2. Any owner failing to make a monthly payment will immediately receive a letter of demand for payment. If this continues for a second month then a full statement is prepared showing all arrear levies, interest and collection cost and presented to the owner as a demand for payment together with a written notice informing him that the account will be handed to the attorneys for collection should payment not be received within 7 (seven) days of date thereof.  All attorneys and collection costs to be for the owners account.  All available legal procedures are then followed until the arrears and costs are collected in full. In our experience strict credit control is of the utmost importance and it therefore receives ongoing attention at all times.
  RECEIPT OF FUNDS
  1. Venter & van Wyk Properties CC operates a trust account as prescribed in section 32(2) of the Estate Agents Act 112 of 1976.  Monies are only withdrawn to meet expenses of the Body Corporate or for investment on behalf of the Body Corporate. This account is also protected by the Estate Agents Fidelity Fund of the Estate Agents Affairs Board.
  SUPPLY OF ELECTRICITY AND METER READINGS

  GENERAL

  RENTAL MANAGEMENT

Venter & van Wyk Properties CC has been actively involved in all facets of property administration and specializes in LETTING, SALES, VALUATION OF PROPERTIES AND SECTIONAL TITLE MANAGEMENT since 1954.  (Competitive fees can be offered in schemes where we also act as Managing Agent for the Body Corporate).

The owner of a property let through our Agency enjoys the following benefits:

  1. We have a wide knowledge of the rental market and can provide you with helpful advice in respect of market related rentals and other important matters.
  2. The property is advertised in the newspapers as well as on our website.
  3. Prospective tenants are well screened before acceptance.
  4. A comprehensive and proven Lease Agreement is entered into with the tenant at his cost.
  5. A deposit equal to one month’s rental plus an amount of R320-00 is collected and held in trust.
  6. Rentals are collected in advance and deposited into the owner’s bank account by the 10th of every month.
  7. Inspections of the property is carried out, and if maintenance is required to the unit, quotations will be obtained with your approval to effect repairs.
  8. On vacating of the premises by a tenant a final inspection is carried out after which any damages are deducted from the deposit held and the necessary repairs carried out.
  9. We provide owners with an income and expenditure statement by the 20th of every month.  If so instructed we will also pay levies and bond payments from the rentals collected.
  10. All the above are done at a commission to be agreed upon  plus VAT.
